BookWrench is a field service management (FSM) platform and product of BYXL Software LLC, a Nevada limited liability company ("BookWrench", "we", "us", or "our"). This Privacy Policy explains what information we collect, how we use and protect it, and the choices available to you when you visit bookwrench.com, create an account, or use the BookWrench application and related services (collectively, the "Services").

By using the Services, you agree to the practices described in this Policy. If you do not agree, please do not use the Services.

1. Who This Policy Applies To

BookWrench is a business-to-business SaaS platform. This Policy covers three groups:

  • Visitors — people who browse bookwrench.com or submit a contact, demo, or consultation request.
  • Customers — businesses (and their authorized users) that subscribe to and use the BookWrench platform, typically HVAC, plumbing, electrical, and other trades contractors.
  • End Users — the customers, clients, and contacts of our Customers (for example, homeowners) whose information a Customer enters into or processes through the platform.

Our role. For Visitor and Customer account data, BookWrench acts as a data controller. For End User data that a Customer uploads, stores, or transmits through the platform ("Customer Content"), BookWrench acts as a data processor / service provider and processes that data only on the Customer's instructions and under our Terms of Service. Customers are responsible for having a lawful basis and appropriate notices and consents for the End User data they process through BookWrench.

2. Information We Collect

Information you provide directly:

  • Contact and account details — name, business name, email, phone number, job role, and login credentials.
  • Billing information — processed through our third-party payment processor; we do not store full payment card numbers.
  • Communications — messages you send us via forms, email, SMS, chat, or support tickets.

Customer Content (processed on the Customer's behalf):

  • End User records such as names, service addresses, phone numbers, email addresses, job and work-order details, scheduling data, invoices, and messaging history that a Customer chooses to store or send through the platform.

Information collected automatically:

  • Technical and usage data — IP address, browser and device type, operating system, pages and features used, referring URLs, timestamps, and log data.
  • Cookies and similar technologies (see Section 6).

3. How We Use Information

We use information to:

  • Provide, operate, secure, and improve the Services.
  • Create and manage accounts, authenticate users, and process subscriptions and payments.
  • Respond to inquiries and provide customer support and onboarding.
  • Send service and transactional communications (for example, account, billing, security, and product notices).
  • Send marketing communications where you have opted in (you can opt out at any time).
  • Monitor usage, prevent fraud and abuse, and maintain security and reliability.
  • Comply with legal obligations and enforce our agreements.

We do not sell your personal information.

4. SMS / Text Messaging Program (Messages From BookWrench)

This section describes text messages BookWrench may send to you. It does not describe messages that our Customers send to their own End Users through the platform — those are governed by the Customer's own privacy notice and by our Terms of Service.

If you provide your mobile number and opt in through our contact, demo, or account forms, BYXL Software LLC (operating BookWrench) may send you SMS text messages. Consent to receive text messages is optional and is not a condition of purchasing any goods or services. We offer two separate opt-in options:

  • Non-marketing (transactional) messages — such as account notifications, onboarding, appointment or demo scheduling, confirmations, reminders, security alerts, and follow-up communications related to your inquiry or subscription.
  • Marketing and promotional messages — such as product announcements, offers, and event promotions.

You may opt in to either or both.

  • Message frequency may vary. Message and data rates may apply.
  • You can opt out at any time by replying STOP, after which you will receive a single confirmation and no further messages of that type.

  • Carriers are not liable for delayed or undelivered messages.

5. Mobile Information and Text Messaging Data

No mobile information (including phone numbers collected for SMS) will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subprocessors that provide services on our behalf — such as our messaging provider and customer-support tools — is permitted solely to deliver the Services. All other use-case categories exclude text-messaging originator opt-in data and consent; this information will not be shared with any third parties.

This applies both to text messages BookWrench sends and to opt-in and consent data associated with messages our Customers send through the platform: such consent data is processed only to operate the messaging feature and is not shared for the marketing or promotional purposes of any third party.

6. Cookies and Tracking Technologies

We use cookies, tag managers, and similar technologies (including analytics tools) to run the site, remember preferences, measure traffic, and improve the Services. You can control or disable cookies through your browser settings, though some features may not function properly as a result. These include analytics and tag-management tools such as Google Tag Manager. Where required by law, we present a consent mechanism for non-essential cookies.

7. How We Share Information

We do not sell personal information. We share it only in limited circumstances:

  • Subprocessors and service providers — hosting, cloud infrastructure, payment processing, messaging (SMS/voice), email delivery, analytics, and support tools that process data on our behalf under confidentiality and data-protection obligations.
  • Legal and safety — when required by law, regulation, legal process, or governmental request, or to protect the rights, property, or safety of BookWrench, our Customers, or others.
  • Business transfers — in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy.

We do not share End User mobile opt-in or consent data for third-party marketing (see Section 5).

8. Data Security

We implement technical and organizational measures — including encryption in transit, access controls, and secure cloud infrastructure — designed to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Data Retention

We retain personal information for as long as needed to provide the Services, maintain your account, comply with legal obligations, resolve disputes, and enforce agreements. Customer Content is retained per the Customer's subscription and instructions; on account termination we make Customer Content available for export and then delete it within 30 days, unless a longer period is required by law. When information is no longer needed, we securely delete or anonymize it.

10. Your Rights and Choices

You may have the right to access, correct, delete, or port your personal information; opt out of marketing; and, where applicable, limit certain uses of your information. California residents (CCPA/CPRA) may request disclosure, deletion, and correction of personal information and may opt out of "sharing" for cross-context behavioral advertising; we do not sell personal information. Residents of other U.S. states that have enacted comprehensive privacy laws may have similar rights. We will not discriminate against you for exercising these rights.

For End User data held as Customer Content, please direct requests to the relevant Customer (the controller of that data); we will assist that Customer as their processor.

11. Where We Process Data

BookWrench is operated from the United States and provides the Services to U.S.-based businesses. We process and store data in the United States. The Services are not directed to, or intended for, individuals located outside the United States. If we expand to serve customers in other regions in the future, we will update this Policy to address cross-border data transfers and any additional legal requirements.

12. Third-Party Links and Integrations

The Services may link to or integrate with third-party products (for example, accounting, payment, mapping, or messaging services). We are not responsible for the privacy practices of those third parties; review their policies directly.

13. Children's Privacy

The Services are intended for businesses and users aged 18 and over. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, contact us so we can remove it.

14. Changes to This Policy

We may update this Policy to reflect changes in our practices, technology, or legal requirements. When we make material changes, we will update the "Last Updated" date above and, where appropriate, notify you by email or through a notice in the Services.
